Sales archive

Every sale ever made — where to find it, what it tells you, and how to undo it.

Sales archive

What is the sales archive?

The sales archive is where every sold item ends up. When an item is marked sold — during a live show, in a store, or through an eBay order — it leaves active inventory and lands here. Nothing is deleted; it's a permanent, searchable history.

Where do I find sold items?

  1. Open Inventory & Listings.
  2. Switch the status filter to Sold.
  3. Optionally narrow by date range, source, or channel.

Sold items are hidden from the default view — you have to opt in with the status filter.

Why don't sold items show up in normal search?

By design. Active search only looks at live inventory. To include sold items, either set the status filter to Sold or turn on Include sold in the filter panel.

Tip: Searching by SKU with the Sold filter on is the fastest way to check whether a specific item ever sold.

What's in a sale record?

Open any sold item and you'll see a sale record with the full history of that sale.

FieldWhat it tells you
Sale priceWhat the item actually sold for.
Sale dateWhen it was marked sold or the order was received.
ChannelWhere it sold: live show, eBay, Whatnot, in-person, etc.
Show / orderLinks back to the show or order that produced the sale.
BuyerBuyer name when the channel provides it (eBay orders do).
CostWhat you originally paid — used to calculate profit.
ProfitSale price minus cost. Shown live in the record.
Bin at saleThe bin the item was in when it sold.
Sold byThe team member who marked it sold.

Where does profit come from?

Profit = sale price − item cost. Cost comes from the source the item was assigned to. If the source cost changes later, profit recalculates automatically.

Heads up: If an item's cost field is missing (e.g., a free item or a manual add), profit will show as unknown — not zero.

Reversing a sale

How do I reverse a sale?

  1. Open the sold item in the archive.
  2. Tap Reverse sale.
  3. Confirm. The item goes back to its original bin and reappears in active inventory.

Who can reverse a sale?

ActionStaffManagerOwner
View sold items✅✅✅
Reverse a completed sale❌✅✅
Delete a sale record❌❌❌

Sale records are never deleted. Reversing a sale adds a reversal event to the activity log — both the sale and its reversal stay visible forever.

What happens if the item was on a channel?

Reversing an eBay order's sale will not re-list it automatically. You'll need to re-list manually or through the channel sync. For live shows, reversing the sale puts the item back in its bin.

Important: Reversing an order in BizInv doesn't refund the buyer on the channel. Process the refund in eBay (or your channel) first, then reverse in BizInv.

Sales reports

Where do I see sales totals?

The Reports screen (Managers and Owners) has a Sales by source report showing revenue, cost, and profit for every source over a date range. The archive feeds directly into it.

Can I export my sales archive?

Yes — open the Sold filter, set your date range, and tap Export. You'll get a CSV with item, sale price, cost, profit, sale date, and channel.

Why does a sale appear twice?

Likely a reversal. The original sale and the reversal both appear in the activity log. The item's current status (sold vs. active) reflects the latest event.

Need to find an old sale?

Set the status filter to Sold, search by SKU, or ask a manager to reverse a sale if needed.
